Data Subprocessors

Introduction

This page details the third party data subprocessors Sampl uses to deliver our service, and is an extension of our Privacy Policy which details our lawful basis for processing personal information.

Consumer data

Sampl uses the following third parties to process consumer personal data on our behalf. This section relates to you if you have applied to receive a sample in the post, or have applied to receive a SamplPay cashback offer.

Third-party subprocessors

Amazon Web Services

The Sampl web platform is hosted on Amazon Web Services (AWS). All data is held in the London (UK) region. Information is stored on AWS for sample allocation and analysis purposes. For more information, please see the AWS Privacy Notice. 

Google Workspace

Sampl uses Google Workspace for productivity and communication, including email and video calls, and summaries and transcriptions provided by Google’s Gemini AI. Consumer data is processed by Google only if you email us or your data is securely transferred to us by our clients. Data is stored at rest in the Google Europe region. Salesforce

Sampl uses Salesforce as a primary CRM. Consumer data is processed by Salesforce only if you email us. Data is stored in the UK region. For more information, please see the Salesforce Privacy Policy. 

Syndication services

If you leave a product review, Sampl may share that information with the following syndication services on behalf of our clients:

• PowerReviews
• Yotpo

Fulfillment

Where we process personal data on behalf of our clients to deliver product samples, we use trusted third-party fulfilment partners to manage storage, packing, and delivery.

These partners may vary by campaign, product type, and delivery destination, and may be located in different regions worldwide. For example, some fulfilment partners specialise in temperature-controlled items, restricted goods (such as perfumes containing alcohol), or region-specific delivery requirements.

We select and engage these partners in accordance with our clients’ instructions and applicable data protection laws, and ensure they are bound by appropriate contractual safeguards.

A current list of our fulfilment partners used for a particular campaign can be made available to our clients or relevant regulators upon request.

Call, meeting and email analysis tools

Sampl uses third-party tools to record, transcribe, and analyse interactions with prospects and clients. This is to help us understand engagement levels, improve service delivery, and support our commercial decision-making processes. These tools may collect and store data from calls, meetings or email exchanges, depending on the context.

Fathom.ai

Sampl uses Fathom.ai to record, transcribe and analyse selected meetings. Fathom stores data in the United States. For UK and EU users, we rely on Fathom’s commitment to GDPR compliance and apply contractual safeguards, including data processing agreements where applicable. Our lawful basis for using Fathom is our legitimate interest in improving our client engagement, and where relevant, for taking steps to enter into a contract. Gong.io

Sampl uses Gong.io to record and analyse sales calls, meetings and email interactions with prospects and clients. Gong hosts our data in the European Union (AWS eu-west-1). Some limited processing and support activities may involve personnel outside the EU, including in the United States, and Gong maintains a list of approved subprocessors. Otter.ai

Sampl uses Otter.ai to record, transcribe and analyse selected meetings. Otter stores data in the United States. For UK and EU users, we rely on Otter’s commitment to GDPR compliance and apply contractual safeguards, including data processing agreements where applicable. Our lawful basis for using Otter is our legitimate interest in improving our client engagement, and where relevant, for taking steps to enter into a contract. Apollo

Sampl uses Apollo.ai to automate prospective client research and outreach for marketing purposes, processing prospect and client information on our behalf. For more information, please see the Apollo Privacy Policy.

Fathom Analytics

Sampl uses Fathom Analytics to understand user behaviour within our main platform used by our clients, and on data capture forms used by end consumers. Fathom is a privacy first analytics company which aims to store a visitor’s data in the EU if that user is in Europe, and otherwise, in the USA. GetShowMe.ai

Sampl uses GetShowMe.ai to automate prospective client information gathering on our marketing website. Information is stored in the USA. For more information, please see the GetShowMe.ai Privacy Policy. 

Google Analytics

Sampl uses Google Analytics to understand user behaviour on its marketing and consumer help websites. Google aims to store a visitor’s data in the their region. For more information, please see the Google Privacy & Terms.

Hotjar

Sampl uses Hotjar to understand user behaviour on its marketing website. Data is stored in the EU. For more information, please see the Hotjar Privacy Policy.

HubSpot

Sampl uses HubSpot to collect prospect and marketing information. Data is stored in the HubSpot EU region (Germany). For more information, please see the HubSpot Privacy Policy. 

Lemlist

Sampl uses Lemlist to automate prospective client research and outreach for marketing purposes, processing prospect and client information on our behalf. For more information, please see the Lemlist Privacy Policy.

Microsoft

Sampl uses Microsoft Office for productivity and communication, including email and file storage. Data is stored in the United Kingdom and European Union. For more information, please see the Microsoft Privacy Notice.
